Terms & Conditions — The DNA of Leadership Cambridge Retreat (17–23 May 2026)

1. Introduction

These Terms & Conditions (“T&C”) apply to all applicants and participants of The DNA of Leadership Cambridge Retreat taking place from 17 to 23 May 2026 in Cambridge, United Kingdom.

By submitting payment and confirming attendance, participants agree to be bound by these terms.

2. Registration & Payment

2.1 Program Fees

  • Full Fee: £11,900

  • Early Bird Fee: £9,900 (limited to the first 5 participants confirmed and paid by 31 December 2025)

3. Refund & Cancellation Policy

3.1 Refunds

Refunds are permitted according to the following schedule:
  • Full Refund applies within 14 days after registration and payment, provided the applicant completes registration before 22 February 2026.
  • 25% Refund: for cancellations between 22 February 2026 and 15 March 2026.
  • No Refund for cancellations after 15 March 2026.
  • Seats can be transferred to another cohort for cancellations before 15 March 2026. Additional fees may apply.

Refunds will be processed within 30 days of receiving the written cancellation request.

4. What Is Included

The program fee includes:

  • Airport pickup and drop-off (London airports)
  • Accommodation at Jesus College, University of Cambridge
  • Breakfast and lunch
  • Local transportation for daily activities
  • All retreat activities and excursions
  • Participant Meet Yourself™ assessment
  • Complimentary Team Brainprint™ assessment
  • Onboarding call, and 1-1 debrief session
  • Gala dinner and Graduation ceremony

5. What Is Not Included

The fee does not include:

  • International or domestic flights

  • Visa-related costs

  • Travel or medical insurance

  • Personal expenses (dinners, shopping, laundry, minibar, etc.)

Participants are responsible for ensuring they meet all UK entry requirements.

6. Participant Responsibilities

Participants agree to:

  • Confirm that they are in good health and able to participate in moderate physical activities (e.g., walking tours).

  • Act respectfully, professionally, and safely during all program activities.

  • Attend sessions punctually and participate fully to ensure an optimal learning experience for themselves and the group.

The organizer reserves the right to remove any participant who disrupts the program or behaves inappropriately, without refund.

7. Health, Safety & Liability

  • Participants must hold valid travel and medical insurance covering the full duration of their stay.
  • The organizer is not liable for:
    • Travel delays or cancellations
    • Loss or damage of personal belongings
    • Health issues arising before, during, or after the retreat

Force Majeure

The organizer is not responsible for delays, changes, or cancellations caused by events beyond reasonable control, including natural disasters, strikes, travel restrictions, pandemics, or other unforeseen circumstances.

8. Data Privacy

The DNA of Leadership program complies with GDPR and international data privacy regulations.

  • DNA samples are processed in a secure Swiss laboratory.

  • Samples are destroyed immediately after sequencing.

  • All data is anonymized, encrypted, and used only for assessment or research purposes.

  • No third party can access identifiable information.

A separate privacy policy and consent agreement will be provided upon assessment registration.

8.1 Data Controller

For all data matters, we act as the Data Controller under:

  • GDPR (EU 2016/679)
  • Swiss Federal Data Protection Act
  • ISO 27001 information-security framework.

8.2 Data We Collect

We collect data relevant only to providing the Leadership program in Cambridge and associated services:
  1. Personal Information
    • Name, email, phone number, nationality, organization, job title
    • Passport details (if visa assistance required)
    • Billing and payment information
    • Assessment-related data and responses
  2. Program Interaction Data
    • Attendance, coaching notes, feedback forms
    • Communication via email, WhatsApp, or learning portal
    • Consent records and support tickets

8.3 Purpose of Processing

Your data is processed for:
  1. Program delivery – registration, logistics, accommodation coordination, assessments, and reports
  2. Personalized insights – generation of your Meet Yourself™ reports
  3. Coaching and certification follow-up
  4. Legal and compliance – accounting, tax, and data-protection obligations
  5. Research & program improvement – anonymized and aggregated data only

8.4 Legal Basis for Processing

We rely on the following legal bases under GDPR:
  • Contractual necessity – to deliver the program and assessments
  • Explicit consent – for processing data
  • Legitimate interest – to improve quality and ensure participant safety
  • Legal obligation – to comply with financial and regulatory requirements

8.5 Data Storage and Security

  • All data is stored on encrypted servers in the US, UK and Switzerland.
  • Access is limited to authorized personnel under strict confidentiality agreements.
  • No personal data is shared with third parties for research, marketing, or commercial use.

8.6 Data Sharing

We may share limited information only with:
  • Jesus College, Cambridge (for venue and accommodation logistics)
  • Authorized Meet Yourself Practitioners (if you explicitly request coaching)
  • Regulatory authorities (if legally required)
No data is sold, rented, or transferred for advertising purposes.

8.7 International Transfers

If data is transferred outside the EU/UK/Switzerland, it will be protected through:

  • Adequacy decisions (e.g., UK-EU agreement) or
  • Standard Contractual Clauses (SCCs) ensuring equivalent protection.

8.8 Cookies and Analytics

If you visit our website or digital platform, we use essential and analytical cookies to improve usability. You can manage preferences via your browser or cookie banner settings.

8.9 Data Breach Response

In case of a breach, affected users and authorities will be notified within 72 hours, including details of corrective actions taken.

8.10 Updates to This Policy

We may update this Privacy Policy periodically.
All revisions will be posted on our website and communicated via email where appropriate.

9. Photo, Video & Media

Program photos or videos will be used for marketing or communication. Participants need to send explicit written request to not be featured in photos or videos by sending the request to cambridge@thednaofleadership.com

10. Program Modifications

The organizer may adjust the program schedule, speakers, activities, or venue if necessary for safety, logistics, or quality enhancement. Any changes will be communicated promptly.

By proceeding with payment, the participant acknowledges that they have read, understood, and agreed to these Terms & Conditions.
